Law-firm delivery

AI Solutions for Legal Sector

Design AI around client instructions, conflict checks, matter evidence and supervised delivery. A practical operating guide for Saudi law firms.

A law firm can produce a polished summary quickly and still create a serious service problem: the summary may belong to the wrong matter, omit a qualification in the client's instructions or circulate before the responsible lawyer has reviewed it. Useful AI solutions for the legal sector begin with the relationship between client, matter, evidence and professional authority. Faster text generation is only one part of that relationship.

This guide is for managing partners, practice heads and legal operations managers in Saudi law firms. It develops a proposed matter-intake and delivery workflow, with a worked conflict-review example and a reusable evidence record. It does not assume that a particular OpenForAI product already performs these functions; the proposed access controls, integrations and responsibilities must be agreed for the project.

Choose the unit of work: a supervised matter event

Start with a concrete event such as a prospective client's first enquiry, receipt of a new document bundle or preparation of a status update. Define what the event should produce and which lawyer owns its acceptance. A general assistant with access to every client folder has no clear completion boundary. An intake assistant that prepares a restricted review packet for one prospective engagement does.

Useful first workflows include identifying missing engagement information, arranging supplied events into a chronology, comparing a draft update against recorded instructions and preparing a document list for a named reviewer. Keep research conclusions, strategic advice and decisions about representation under qualified professional control. An accurate extraction of a company name is not a conflict clearance; a cited legal proposition is not a determination that it applies to the client's facts.

The Ministry of Justice's professional conduct rules address client instructions and protection of client information. The linked English translation is guidance; the official Arabic text and applicable requirements govern. Review the proposed processing and disclosure arrangements against that professional context, the engagement terms and the firm's obligations.

Build an intake packet that supports a conflict decision

An intake packet should identify the prospective client, relevant entities and people, the requested work, known counterparties and the source of each assertion. The system should preserve an Arabic name as supplied while storing a separate normalised search value. Transliteration, spelling variants and trade names can improve candidate matching, but they should not silently merge identities. Ask the reviewer to distinguish a confirmed identity from a possible association.

The review interface should disclose enough to resolve a possible conflict without exposing another client's whole file. Search permission and permission to open a matching matter are different capabilities. A restricted reviewer may need a contact point and a conflict flag, not confidential factual detail. This distinction should be tested with real access roles before broader use.

Worked example: similar names, different entities

Consider an illustrative commercial practice receiving an enquiry from a distributor whose Arabic trade name resembles a company already in its matter register. The submitted document also names an individual who appears as a contact on another file. A simplistic similarity threshold might merge the companies or suppress the weaker person match. Both responses would discard information the lawyer needs.

The proposed workflow creates separate candidates: the company-name resemblance, the identifier comparison and the person's possible relationship. It preserves the original text and points to the relevant document locations. If an identifier is missing, the packet requests it through an approved channel instead of inventing a match. The reviewer records whether each association is confirmed, excluded or unresolved, and explains the resulting intake decision.

Suppose a test set contains 40 enquiries, including 8 deliberately ambiguous cases. The useful result is not merely how many packets the system completes. Review whether all 8 ambiguous cases reach the designated lawyer, whether confidential details remain restricted and whether any clear case is unnecessarily delayed. These are proposed test conditions, not a claimed deployment result or a universal sample size.

Turn document bundles into a traceable chronology

After opening a matter, distinguish the date on which an event allegedly occurred from the date of the document describing it. A letter issued later may refer to an earlier meeting. The chronology should retain both dates, the source, the relevant passage, the party making the assertion and whether the fact is disputed. Avoid converting one party's statement into an uncontested finding.

Version control matters when a client replaces a document. Mark which chronology entries depend on the withdrawn version and send them back for review. Do not silently preserve their earlier conclusions. A lawyer should be able to reconstruct why an entry was accepted at the time of a particular draft, even after the evidence bundle changes.

Use document processing for the mechanics of receiving and classifying bundles, and data extraction for field-level accuracy. AI contract review addresses clause and document analysis in greater detail. The law-firm solution connects those capabilities to the authorised matter and the lawyer's delivery responsibilities.

Protect the client boundary throughout the workflow

Access decisions should follow the matter, the person and the intended action. Reading an approved research collection does not imply permission to retrieve client correspondence. Drafting an internal note does not imply permission to email it. Test these boundaries in the actual search index, document store, model interface, activity logs and support arrangements; a restriction visible only in the front-end screen is insufficient evidence.

Specify how closed matters, staff departures, temporary cover and transferred files change access. Decide which prompts, generated drafts and retrieved excerpts are retained and who can inspect them. A service account used for integration should not inherit unrestricted partner-level access simply because that makes configuration easier. Bring the firm's confidentiality and data-protection advisers into these design decisions where needed.

Client updates require a separate release step. The system may assemble a draft from accepted events and outstanding actions, but the responsible lawyer should verify the recipient, current instructions, procedural status and omissions. A draft that is factually correct can still be inappropriate if it answers a different question from the one the client authorised.

Evaluate professional usefulness, not fluent output alone

Compare the proposed workflow with the firm's existing process using the same types of matters and similar document complexity. Measure reviewer time, unsupported assertions, missing evidence links, incorrectly merged identities and corrections after release. Review error severity as well as frequency: an incorrect internal file label and an unauthorised client disclosure do not belong in one undifferentiated accuracy percentage.

Ask reviewers to assess complete work products. A correct chronology entry may still be unusable if its source cannot be opened, while a well-written client update may require substantial checking because it mixes accepted facts with assumptions. Include changed instructions, withdrawn documents and restricted matters in acceptance testing. Record the model, retrieval configuration and source-set version so a later regression can be investigated.

The managing partner should also decide how the firm explains and prices the revised service. Saved drafting time does not automatically establish a client fee reduction or an improved legal outcome. Track where capacity is used, whether supervision becomes more demanding and whether the engagement's service commitments are actually met.

Define a deliverable the practice can operate

A credible initial scope names the matter event, permitted data, review roles, approved outputs, integration destination and exceptions that return to manual handling. Include an exportable evidence record and a documented way to suspend the workflow. Train intake staff and lawyers on different responsibilities: staff completeness checks, lawyer decisions and administrator access control should not collapse into one generic approval button.

For adjacent organisational work, AI for legal operations covers the internal legal department's service model; professional-services solutions examines engagement delivery. Trusted Data's legal and governance page provides related commercial context on legal information workflows. Use these alongside the firm-specific matter design, with professional requirements assessed from authoritative sources.

Explore AI solutions for Saudi businesses, then enquire about a supervised law-firm workflow. Bring a sample intake packet with sensitive information masked, the current review stages and an example of an ambiguous matter association. Those materials make the proposed project concrete without requiring disclosure of an active client's confidential file.

FAQ

Your questions, answered.

Can a law firm use AI to clear conflicts of interest?

AI can assemble candidate identities and possible relationships for review, but a similarity score should not clear a conflict. The firm needs an authorised decision-maker, access restrictions on existing matters and a recorded explanation of unresolved matches. Test aliases, Arabic and English names, missing identifiers and relationships between entities. Preserve the evidence that supported the lawyer’s decision rather than just the system’s confidence value.

How should an AI chronology handle disputed facts?

Each entry should identify who asserted the fact, the source passage, the alleged event date and the document date. Mark disputed or unverified assertions explicitly. If a document is replaced, identify the entries affected and require renewed review. The chronology is a structured aid to legal work; it should not turn a party’s allegation into an accepted finding merely because several documents repeat it.

Can different practice teams share one legal AI search system?

They may share infrastructure if access remains appropriate to each matter and role. Test the underlying index, retrieval service, cached excerpts and support access as well as the user interface. A central search service should not expose restricted matter content through previews or generated answers. Define how temporary access expires and how results change when a lawyer leaves a team.

What should be checked before an AI-drafted client update is sent?

Check the intended recipient, latest instructions, accepted facts, outstanding actions and the responsible lawyer’s release authority. Confirm that the draft does not include another matter’s information or an unapproved interpretation. A useful release record identifies the evidence and version reviewed. The system should retain the draft separately from the approved communication so that later edits do not obscure what was actually sent.

How can a small legal practice test AI without sharing live client files?

Create a realistic test pack with invented parties and sensitive information removed from any reference material. Preserve the difficult structure: name ambiguity, conflicting dates, revised instructions and restricted documents. A synthetic pack tests workflow behaviour, but it cannot establish performance on every real matter. Before production, assess representativeness, professional obligations and the controls required for any permitted client information.

Which legal workflow should remain outside the first project?

Exclude any step whose authority or evidence requirements are unresolved. Examples include automatically accepting a client, issuing advice without professional review or sending documents based only on a generated recipient suggestion. A narrower intake or chronology workflow can still be valuable. Define the excluded decisions explicitly and ensure the interface routes them to the responsible lawyer rather than suggesting they have already been completed.
