Work-package evidence
AI Solutions for Construction
Prepare construction RFIs and work-package evidence with revision control, accountable engineering review and a clear distinction between answers and permission to build.
A project team may receive an answer to a request for information and still lack permission to proceed. The response may require a revised drawing, a material approval or confirmation from another discipline. Construction AI becomes useful when it carries those dependencies into the work-package record instead of treating a closed correspondence item as a released activity.
The buyer is a project controls, technical office or construction operations manager. A first AI solutions scope can prepare RFIs and reconcile their responses against one package's release conditions. The assistant organises evidence and drafts questions; authorised engineers, commercial staff and site management retain their respective decisions.
Choose between technical coordination, submittals and progress evidence
RFI preparation is one entry point. A contractor struggling with material approvals may prefer a submittal-readiness workflow. It assembles the specification requirement, proposed product information, drawings, test certificates where required and prior review comments into a package. The output is a completeness and discrepancy record for the technical reviewer, not an approval of a material or supplier.
This alternative needs explicit resubmission history. A supplier may answer one comment while leaving another unresolved, or replace a product sheet without changing the package title. Keep each reviewer comment connected to the evidence offered in response. Evaluate missed requirements, unnecessary rejection cycles and time to a complete reviewed submission. An increased number of packages sent does not establish that procurement can safely proceed.
A progress-evidence workflow is another option. It can organise dated site photographs, inspection records, delivery notes and reported quantities against a work breakdown. Its purpose is to help the responsible team verify progress and locate disagreements. A photograph may show installed material without proving concealed work, required testing or acceptance. Avoid turning visual detection into certified completion or a payment entitlement.
For progress support, define the measurement unit and acceptance event before evaluating AI. A counted object, installed quantity, inspected quantity and accepted quantity may differ. Retain those states rather than reporting a single percentage. Test repeated photographs, wrong locations, partially completed assemblies and corrections made after the reporting cut-off. The reviewer should be able to trace a reported quantity back to the actual evidence.
Choose the first scope by the decision causing downstream rework. If engineers repeatedly return incomplete questions, improve RFI preparation. If purchased items arrive before a valid submittal decision, improve material evidence and approval handoffs. If project reports disagree about what has been completed, improve progress evidence. Combining all three in the first release can obscure who owns the failure and what success means.
Integration should reflect project boundaries and contract roles. Define which document-control system owns the record, which status can be written and who can distribute it externally. Start with reviewable draft records where authority is unclear. A successful demonstration against a folder does not establish access to the project's live common data environment, its permissions or the agreed correspondence process.
Identify the governing evidence for one location
Every case needs a project, package, discipline, physical location and document reference. Preserve drawing revision, issue purpose, approval state and transmittal information. The last uploaded file may be an old revision or a copy issued only for comment. A document controller should define the project's precedence and status rules.
Enterprise search covers permission-aware retrieval; document processing covers assembling a case. Construction adds spatial and contractual context: the detail for one floor, zone or specification class may not apply to another. If a drawing is unclear, the assistant should expose the relevant image or reference for qualified review rather than infer an engineering dimension.
buildingSMART describes the BIM Collaboration Format as an issue-management communication standard. Where the project's tools support it, a structured issue can help preserve location and discussion context. The standard's existence does not prove that a proposed integration supports the project's exact software versions.
Prepare a question that an engineer can answer
A useful RFI states the observed conflict, the precise location, the governing references and the decision required. It should separate quoted evidence from the author's interpretation. Include the date when an answer is needed, but do not manufacture contractual entitlement or imply that the date itself obliges another party to respond.
| Record | Question it resolves |
|---|---|
| Issue and references | What conflicts, where, and in which approved sources? |
| Requested decision | Which specific technical uncertainty needs resolution? |
| Response | Who answered, under what authority, with what conditions? |
| Follow-on requirements | Is a drawing, submittal, method statement or inspection still needed? |
| Release decision | Who confirmed all relevant conditions for this activity? |
| Change record | Does the issue require separate commercial or schedule assessment? |
Contract review can support clause comparison when an event may have commercial consequences. Technical clarification and change approval must remain separate. A generated notice or change request stays a draft until the authorised team checks content, recipient, service method and applicable timing.
Worked package: closed correspondence is not release
Illustrative example: a site team tracks 25 RFIs associated with a work package. Eighteen are informational and seven block release. Five blocking RFIs receive responses, but two of those responses require revised drawings that have not yet been issued. Three blockers are therefore resolved and four remain: two unanswered and two awaiting dependent drawings.
A dashboard showing five of seven blockers “answered” would display 71.4% response progress. The release evidence supports only three of seven resolved, or 42.9%. Neither percentage alone certifies that work can start. The responsible site and engineering authorities must verify the complete release conditions.
Record which activities are affected and whether alternative work is feasible. Do not add every delay duration together: activities may run in parallel or sit outside the critical path. The assistant can prepare an event chronology, while a qualified planner assesses schedule effects using the accepted programme and actual progress.
Design the review around costly failure modes
Test obsolete drawings, mismatched units, negative instructions, handwritten annotations, copied responses and bilingual specification differences. Include questions for which the correct result is “insufficient evidence”. A confident answer without a valid source should fail even when it sounds technically plausible.
Keep source permissions at project and counterparty level. A subcontractor must not receive another bidder's commercial information through a search answer. Remove access promptly when roles change and verify that cached responses cannot disclose withdrawn material.
Meeting summaries can capture coordination decisions, but a meeting note is not automatically an instruction issued through the contractually required channel. Mark decisions awaiting formal confirmation. Quality assurance provides the wider approach to acceptance evidence and critical error tests.
Make revision impact visible at the work-package level
A revised drawing can be correct in isolation and still leave the site working from an earlier issue. Test one change that affects a room, a related service opening and a material already ordered. The proposed assistant should identify the linked work packages and the people who need to review the change. It should distinguish a possible impact from a confirmed instruction to alter the works.
The record should show the superseded reference, the new issue, the stated change, the affected location and the acknowledgement required from each responsible team. An acknowledgement proves receipt, not engineering acceptance or completion on site. If a subcontractor already installed the earlier detail, the case needs an authorised disposition of the physical work; simply replacing a document link does not resolve it.
Ask bidders to demonstrate this scenario using the actual project naming conventions and a realistic set of ambiguous references. Include a tender drawing, an approved construction issue and an as-built submission so the system must recognise their different purposes. Evaluate whether it retrieves the governing evidence and preserves unresolved conflicts, rather than rewarding a plausible answer to every question. The resulting scope may be a focused revision-impact service alongside the RFI assistant, with separate ownership for technical approval and commercial consequences.
Measure reduced rework in the information process
Measure time to a complete reviewed RFI, avoidable clarification cycles, correct source revision and resolved blockers. Track engineering correction time and false releases separately. A faster first draft is valuable only if it reduces the total effort needed to obtain a usable decision.
The proposed scope should include document-status rules, one package taxonomy, source-linked drafting, dependent-action tracking, engineering and commercial approval boundaries, and a procedure for withdrawing an answer after revision. Require a handover that the document controller and technical office can maintain.
Trusted Data's construction document guide offers related reading on drawings and project correspondence. Scope an RFI-to-release workflow with masked drawing references, the current status register and a case where an answer did not remove the actual site blocker.
FAQ
Your questions, answered.
Can an answered RFI automatically release site work?
No. A response may introduce conditions or require a revised drawing, approval or inspection. Track those dependencies and retain a separate release decision by the authorised project roles. An answer is evidence for the decision, not proof that every condition has been satisfied.
Is the newest drawing always the correct source?
No. Upload date, revision, issue purpose and approval state can differ. Apply the project’s document-control rules and preserve the governing transmittal. Where precedence is unclear, escalate the conflict rather than allowing the model to choose a convenient version.
Can AI calculate an entitlement to additional time?
It can organise events, references and draft questions for qualified review. Entitlement depends on the contract, causation, notice requirements and schedule evidence. A delay signal alone is insufficient, and the assistant should not present a commercial claim as an established right.
What should an RFI draft contain?
A precise location, the conflicting or missing evidence, current references, the decision needed and the operational date of need. Separate facts from interpretation. The reviewer should be able to check the issue without searching the entire document repository again.
How do we test bilingual project documents?
Include mixed Arabic and English specifications, numerical units, negation, handwritten notes and differing terminology. Review against the original sources with qualified project staff. A fluent translation can still alter an obligation, dimension or exclusion that changes the work.
What is the strongest pilot acceptance signal?
Fewer avoidable clarification cycles and more correctly resolved blockers, with reliable revision selection and manageable engineering review. Track false releases independently. Drafting volume or correspondence closure counts alone can look favourable while the actual site decision remains blocked.
