Asset-specific maintenance preparation

AI Agents for Energy

Prepare maintenance evidence by asset configuration and document applicability while preserving operational authority and plant-control boundaries.

An energy operator can have an extensive maintenance library and still struggle to assemble the right information for a particular asset. Manuals cover several configurations, work orders refer to previous modifications and an apparently relevant instruction belongs to a different equipment variant. The useful AI-agent opportunity is to prepare an evidence-backed work package for authorised review, while keeping plant operation and safety decisions within the established control system.

This guide is for maintenance planners, reliability leaders, asset-information teams and operational-technology owners in Saudi energy organisations. It develops a maintenance preparation agent, not a controller. The agent’s first job is to establish which information applies and what remains unverified before people plan and authorise work.

Use asset applicability as the organising principle

A search result is useful only when it applies to the asset in its current configuration. Build the knowledge model around the asset register, equipment identifiers, approved configuration records and document effectivity. Document effectivity means the equipment or circumstances to which a document is intended to apply; recency alone does not establish it.

Keep manufacturer information, operator-approved procedures, engineering changes and historical work records distinguishable. A past job may provide useful context without being a current instruction. An older document may remain applicable to one configuration while a newer edition applies elsewhere. The agent should show the basis for its selection rather than choosing the newest file automatically.

Give uncertain mappings an owner. If the asset register and engineering change record disagree, the agent should create an information-resolution task. It should not infer that a modification was completed because materials were ordered or because a work-order note mentions it. The asset owner must establish the current configuration through the approved process.

Prepare the package; preserve the authorisation chain

The proposed package includes the asset reference, approved work request, applicable document list, relevant maintenance history, required review roles and unresolved information. It may also prepare a list of materials or supporting records for validation. The planner should be able to see the source behind every material statement.

Keep planning distinct from work authorisation. A complete document pack does not prove that the asset is in a safe state, that an isolation is established or that a permit is valid. Those matters belong to the operator’s established procedures and authorised personnel. The agent can flag missing evidence in its scope but should not manufacture that evidence or certify the physical condition.

For the initial implementation, use a defined read-and-prepare boundary. The agent can retrieve approved sources and draft a planning record; it cannot issue commands to operational equipment or change safety-related settings. Any proposal to expand beyond that boundary is a new engineering and operational assessment, not a routine prompt enhancement.

The assistive versus autonomous guide helps document this distinction. In energy operations, the relevant question is exactly which system state an action can change, who authorises it and how the operator knows what actually happened.

Keep the information interface separate from plant control

Prefer an approved information interface or controlled data copy for the agent’s task, with freshness and access rules. Do not create an informal route from a general-purpose conversation into control systems. The architecture should show the trust boundary, permitted data direction, service identity and systems that remain outside the agent’s reach.

The National Cybersecurity Authority publishes Operational Technology Cybersecurity Controls for protecting industrial-control environments within their applicable scope. The organisation must determine which controls and facility requirements apply to its arrangement. An AI vendor’s deployment description does not establish compliance or authorise a new connection.

The security architecture guide covers the broader access and tool boundary. For this use case, require an architecture review with the OT owner before granting access, including read access. The review should establish whether the proposed interface affects availability, exposes sensitive operational information or creates a path that bypasses existing controls.

Freshness needs visible semantics. A historical condition reading can support context but cannot be presented as the asset’s current state. If an approved feed is unavailable, the agent should identify the missing information and restrict its output accordingly. A timestamp attached to the whole answer is insufficient when individual sources have different ages.

Worked preparation case: two similar assets, different configurations

Illustrative scenario: a planner requests a maintenance preparation pack for asset A. Asset B has a similar description but underwent an approved modification. The document library contains a common manufacturer manual and separate operator supplements. The agent retrieves a supplement associated with B because its wording matches the request closely.

The acceptance test should require the applicability check to reject that association before the pack is marked ready for review. The output should show which asset field or configuration reference is missing or inconsistent. A correct-sounding technical summary of the wrong supplement is a failed result.

Now introduce a work-order note suggesting that A may also have been modified, without a completed configuration update. The agent should surface the note as unresolved evidence and assign verification to the responsible role. It must not update the asset configuration itself or treat the note as approval.

Finally, provide the authorised configuration record that resolves the question. The agent can rebuild the affected document list and retain the explanation of why it changed. The planner should be able to compare versions of the package. This makes information correction visible instead of silently replacing one plausible answer with another.

The acceptance artifact: an applicability register

The register connects every selected document or historical reference to the asset, configuration basis, source version, approval status and intended use in the package. It also lists excluded documents that appear relevant but fail the applicability check. Those exclusions are useful evidence: they show whether the system can resist a persuasive near match.

Test with changed asset identifiers, duplicate equipment descriptions, superseded supplements, incomplete modification records and scanned tables. Include a document containing instructions to bypass review. The agent should treat those instructions as untrusted content and preserve the project’s permission rules.

Assess unsupported applicability claims, wrong-asset retrieval, missed conflicts, stale-state descriptions and planner correction effort. Keep these measures separate from maintenance outcomes. A preparation agent can save search effort without proving a reduction in equipment failure or downtime.

The testing and evaluation guide provides the evaluation structure. Have reliability, maintenance and OT representatives agree the challenge cases, because each sees a different failure mode. A generic document-answer benchmark will not cover the operational boundary.

Make operational review practical

Present the package in the form planners already use, with a concise summary and accessible supporting evidence. Do not force reviewers to read a long conversation to discover that a key configuration field is unknown. Put unresolved conditions beside the proposed next action and identify the role that can resolve them.

Review decisions should be item-specific. A planner may accept the maintenance history summary while rejecting a document association. Capture the correction and its reason without treating every edit as permission for the model to learn permanently from sensitive material. Improvement, retention and reuse need an agreed process.

The agent should support a pause and a recoverable handoff. If it is unavailable, planners still need access to the approved source systems and the last verified package. If a critical source changes, identify affected packages and notify their owners through the approved workflow. Do not rely on people noticing a new answer in a chat history.

The monitoring guide covers ongoing signals. For asset preparation, monitor source ingestion failures, expired access, unresolved applicability conflicts and unreviewed package changes. These are actionable operational signals, while a dashboard of generated tokens is not enough.

Evaluate value at the planning boundary

Measure how long it takes to assemble a reviewable package, how often it is returned for missing evidence and how much time reviewers spend correcting it. Compare similar asset classes and job types. Separate time saved in information preparation from time spent waiting on engineering decisions, parts or operating windows.

If a wider business case includes avoided downtime, state the causal assumptions and collect evidence over an appropriate period. Do not multiply drafting time saved by the production value of an asset and call the result a realised benefit. The ROI framework helps distinguish measured operating improvement from a scenario-based business case.

A first deployment should be narrow enough for the team to inspect all material outputs and identify information weaknesses. A poor asset register may need correction before agent expansion. The project can still create value by revealing those weaknesses, but that should be recognised as data remediation rather than claimed agent accuracy.

Commission an evidence service for authorised planners

Open for AI’s AI agent development service can be scoped around maintenance knowledge retrieval and preparation, with deployment, integration and support agreed for the environment. The deliverable should make the information boundary and evidence requirements reviewable before production access is granted.

To discuss an energy maintenance preparation agent, bring a redacted asset hierarchy, two near-matching document sets, an unresolved configuration example and the work-package approval path. The useful starting question is whether the agent can consistently show what applies, what does not and who must resolve the remaining uncertainty.
