Reconciliation and close
AI Agent for Finance & Accounting
Prepare traceable reconciliation evidence, preserve accounting judgement and separate proposed treatments from posting and payment authority.
Finance teams do not need an agent that merely explains a spreadsheet. They need work that can be reconciled to a ledger, reviewed at the right level and reproduced when a question arrives months later. An accounting agent can help collect evidence, investigate exceptions and prepare proposed treatments. Posting, payment and financial approval require their own controls.
This guide is for financial controllers, accounts payable managers and finance transformation owners. It focuses on reconciliation and close preparation, where the agent can organise fragmented information without becoming the authority for accounting policy. Begin with a defined account, transaction family and review procedure before connecting broad financial access.
The unit of work is a reconciled item
Define the item being reconciled: a supplier balance, a bank transaction, an intercompany difference or a specific invoice and credit note. Name the authoritative ledger, period, currency and legal entity. A match between two document amounts is not enough if they belong to different companies or accounting periods.
Distinguish document extraction, matching, explanation and proposed posting. Extraction identifies what a document says. Matching applies approved criteria. Explanation describes supported reasons for a difference. A proposed posting applies the organisation’s accounting rules and still needs the designated review. Combining these stages into a single “approve” instruction makes errors difficult to locate.
For example, SAP’s invoice reconciliation documentation describes comparing invoices with related purchasing and receipt records. That is a useful reminder that an invoice is one part of the evidence, not a self-authenticating basis for payment. Your implementation must follow the actual systems and policies in use.
A supplier credit note at month end
Illustrative case: a supplier statement shows an invoice of SAR 60,000, a credit note of SAR 6,000 and a payment of SAR 54,000. On those stated amounts, the residual is SAR 60,000 − SAR 6,000 − SAR 54,000 = SAR 0. The arithmetic is straightforward; establishing that all three items belong together is the real task.
The agent retrieves the ledger entries and document references for the correct entity. It checks that the credit note refers to the invoice, that the payment was applied to that supplier and that no document has been cancelled or superseded. A similar amount in another currency or under a related supplier name is not a match. It preserves the original currency and transaction identifiers.
Suppose the credit note appears in the supplier’s statement but has not reached the organisation’s accounting system. The agent should classify the difference as “external credit note identified; internal recognition pending review”. It must not create a completed reconciliation by silently inserting a journal. The finance owner checks authenticity, commercial basis, period treatment and relevant tax handling before any posting is authorised.
Now suppose the payment integration times out after a status query. That failure does not establish that the payment failed or succeeded. The agent marks the evidence unavailable and uses the agreed reconciliation route. It should not initiate another payment to make the statement balance. Payment execution is a separate, tightly controlled workflow.
Prepare an evidence packet a controller can actually review
A useful packet is short enough to inspect but complete enough to reproduce. Start with the reconciliation conclusion and remaining difference, then expose the documents, applied rules and exceptions. Avoid making the controller search through a long conversation transcript to discover the proposed treatment.
| Packet field | Required content | Review purpose |
|---|---|---|
| Scope | Entity, supplier ID, account, period and currency | Prevent cross-entity or cross-period matching |
| Source items | Invoice, credit note and payment identifiers with versions | Reproduce the proposed relationship |
| Arithmetic | 60,000 − 6,000 − 54,000 = 0, all in SAR | Check the calculation independently |
| Ledger status | Which items are posted, pending, reversed or unavailable | Separate document evidence from accounting recognition |
| Proposed treatment | Policy reference, suggested action and unresolved questions | Support an accountable decision |
| Approval and execution | Reviewer, decision, exact action and confirmed system result | Demonstrate who authorised what |
Attach evidence at the item level. A folder containing hundreds of documents is not a usable citation. Record the page or field that supports the amount and the reference used for matching. For extracted tables, keep row alignment and signs: parentheses, minus signs and credit indicators can change the accounting meaning.
Separate matching confidence from accounting judgement
Use deterministic rules for exact identifiers and arithmetic wherever feasible. A probabilistic match can suggest candidates when references are incomplete, but it should show why each candidate was considered and which evidence is missing. Do not treat a model’s confidence score as an audited likelihood of correctness unless it has been appropriately calibrated and evaluated.
Set different thresholds for different actions. It may be acceptable to suggest a likely match for a reviewer while unacceptable to post it. The same similarity score should not govern both. Cases involving changed bank details, unusual counterparties or conflicting entity information should follow the organisation’s independent verification and approval procedures.
Accounting policy belongs in an approved, versioned source. If the policy is silent, the agent should ask the controller for a decision and record it through the proper process. It should not search the web for a convenient accounting treatment and apply it to the ledger. Specialist tax and reporting questions require the appropriate qualified review.
Design the posting boundary as a financial control
Define separate identities and permissions for reading records, preparing drafts and executing approved changes. Approval should bind to the exact entity, account, period, amounts and supporting evidence. If any material field changes after approval, require a fresh decision rather than reusing a general “approved” flag.
Use the accounting system’s validation rules for closed periods, balanced entries and permitted account combinations. The agent should not bypass those rules by using a more powerful integration identity. Record rejected operations as exceptions, not opportunities to try an alternative tool until something succeeds. The human oversight model must specify approval authority and segregation of responsibilities.
After execution, read back the resulting transaction and reconcile it to the approved request. Use an operation identifier to prevent duplicate postings after retries. If a mistake is discovered, follow the system’s approved reversal or correction process; do not delete evidence to make the history look clean. The audit trail should join source, recommendation, approval and outcome.
Close-period discipline matters more than fluent explanations
Freeze the period and data cut used for a reconciliation run. Late-arriving transactions may legitimately change the balance, but they should produce a new version with a clear reason. Otherwise a controller can approve one set of numbers while a generated report describes another.
Distinguish transaction date, posting date and document date. A credit note issued after month end may require a judgement about the correct treatment; its date cannot simply be copied into every relevant field. Keep the original values and surface the question. Do not let a natural-language instruction such as “put this in last month” override a closed-period control.
When the reconciled figures feed a management pack, pass the approved snapshot and caveats to the reporting agent. A narrative should not erase a pending exception or describe an unposted adjustment as a completed improvement. The division between reconciliation and reporting helps preserve accountability.
Evaluate exception economics and financial correctness
Test exact matches, partial credits, reversals, duplicate documents, currency differences, malformed references and similar supplier names. Include a genuine zero balance produced by the wrong items; arithmetic alone should not pass that case. Have finance reviewers establish the expected treatment before comparing agent outputs.
Illustrative workload estimate: 200 reconciliation items each require 6 minutes of preparation today, or 1,200 minutes. If the agent reduces preparation to 2 minutes per item, gross capacity released is 800 minutes. If 20 exceptions then need 15 additional minutes each, that consumes 300 minutes, leaving 500 minutes before system operation and quality review. A team should measure those components rather than advertise the 800-minute figure alone.
Track unsupported matches, incorrect signs, wrong-entity references, reviewer overrides and duplicate action attempts separately. An overall accuracy percentage can hide a rare but material error. Use monetary materiality and control consequences to set acceptance, with the responsible finance owner. The evaluation framework provides structure; finance supplies the tolerances and stop conditions.
Start with one reconciliation family
Choose a recurring process with stable source access, clear evidence and a reviewer who can define correctness. Supplier credit-note reconciliation, a particular bank-feed exception or a controlled intercompany account can be a narrower starting point than “automate finance”. Keep procurement awards in the procurement workflow, where supplier selection and commercial commitment are reviewed.
For custom AI agent development, agree the permitted actions, data access, accounting-system integration and support model explicitly. A well-scoped finance agent should make the control easier to operate and the decision easier to evidence.
Request information about a finance reconciliation agent with a redacted reconciliation, its supporting documents, the approval matrix and one exception that required judgement. Include the current preparation and review times so the discussion starts with both correctness and operating value.
